Functional Capacity Assessment

A Functional Capacity Assessment (FCA) is a comprehensive evaluation of your child’s abilities, challenges, and support needs across daily life.

These assessments are often required by the NDIS to help determine eligibility for funding and guide therapy and services recommendations.

At The Little Co, we specialise in delivering thorough, timely, and family-centred assessments to support your child’s development and access to services.

Functional Capacity Assessments

What Is A Functional Capacity Assessment?

A Functional Capacity Assessment (FCA) looks at how your child is managing across different areas of life from communication and learning to mobility and daily routines like dressing or eating.

It helps identify:

Your child’s strengths and areas that may benefit from support

What services or supports may be considered reasonable and necessary by the NDIS

Where your child may need skill-building, equipment, or additional assistance

How An FCA Supports NDIS Funding

Functional Capacity Assessments play a key role in helping families access the right supports through the NDIS. A well-structured FCA can:

Describe what your child can do independently and where they may need help

Identify areas of unmet need

Highlight the level of support your child requires

Provide evidence of assistive technology or equipment that may benefit your child

Offer supporting documentation to demonstrate the impact of your child’s disability on their everyday life

This type of assessment is often requested during NDIS access applications, plan reviews, or when making a case for additional or ongoing funding.

Functional Capacity Assessments

How Does It Work?

1. Initial Consultation

We start with a meeting to get to know your child and your family. This includes gathering relevant background information, setting goals, and discussing your priorities for support.

2. Observations & Interviews

We observe your child completing everyday tasks (such as play, communication, or self-care) and speak with parents, caregivers, or other key team members. This helps us understand your child’s functional abilities in real-life settings like home, kinder, or school.

3. Standardised Assessments

We use validated tools, including the Vineland Adaptive Behaviour Scales – 3rd Edition (Vineland-3). This tool is completed online and covers areas like:

  • Communication
  • Daily living skills
  • Socialisation

The Vineland-3 allows us to efficiently gather data while minimising time burdens on families.

4. Detailed Report Writing

All findings are compiled into a professional, NDIS-aligned report outlining your child’s functional capacity, strengths, and recommendations. This includes:

  • Observations from home and/or community settings
  • Results from standardised assessments
  • Recommendations for reasonable and necessary supports

5. Feedback & Recommendations

Once the report is complete, we’ll meet with you to go over the results. We’ll provide clear, practical guidance on next steps – whether that’s therapy, equipment, or additional support needs.

Functional Capacity Assessment FAQs

What is a Functional Capacity Assessment (FCA)?

A Functional Capacity Assessment is a detailed report that outlines an individual’s current abilities, strengths, challenges, and support they may need in their daily life. It focuses on areas like communication, social skills, personal care, mobility, safety, emotional regulation, and community participation. This assessment helps to understand what supports and how much support they need to build independence and quality of life.

Does a Functional Capacity Assessment guarantee NDIS funding?

No, an FCA does not guarantee funding. However, it can play a crucial role in informing NDIS planning and reviews by providing evidence of the participant’s needs and recommended support. The final decision on funding is always made by the NDIA.

Who can complete a Functional Capacity Assessment?

A Functional Capacity Assessment can be completed by qualified professionals with relevant experience. This includes:

  • Behaviour Analysts
  • Occupational Therapists
  • Speech Pathologists
  • Psychologists
  • Physiotherapists
  • Developmental Educators

Each professional brings a unique lens depending on their discipline. Behaviour Analysts focus on daily functioning, independence, and adaptive behaviours using evidence-based approaches.

How long does a Functional Capacity Assessment take?

The process typically takes around 3 to 4 hours, which includes time for observation, interviewing, reviewing information, scoring tools, and writing a comprehensive report. Some cases may require more time, depending on complexity.

What is the difference between a Functional Capacity Assessment, a Developmental Milestone Assessment, and a Skills Assessment?

  • Functional Capacity Assessment: Looks at overall functioning across a person’s daily life, including communication, emotional regulation, social engagement, safety, independence, and support needs.
  • Developmental Milestone Assessment: Focuses on whether a child is meeting expected milestones for their age (e.g., walking, talking, toileting). It is often used in early childhood to track progress.
  • Skills Assessment: Focuses on assessing specific skills within certain domains (e.g., communication skills, play skills, daily routines) and is typically used to guide intervention planning rather than for funding.
